Privacy Policy

This page explains, in plain language, how LoudPipes QR Portal handles personal information connected to LoudPipes LifeTag, portal accounts, support requests, invoices, subscriptions, payments, deliveries, and related rider-safety use-cases in South Africa.

Who is responsible for your information

LoudPipes acts as the responsible party where it decides why and how personal information is processed through this website, the customer portal, LifeTag-linked services, support, and related operational processes.

Use the Contact page if you need privacy help, want to raise a privacy-related request, or need help identifying the correct records or account.

What we may collect

  • Account information such as names, email addresses, phone numbers, password-related security data, login activity, and account-support information.
  • LifeTag profile information you choose to store, manage, or update, such as rider details, emergency contacts, and other linked profile details.
  • Order, invoice, subscription, payment-reference, fulfilment, delivery, and support-history information connected to products or services you use.
  • Technical, usage, fraud-prevention, and security information needed to operate the service, protect accounts, investigate problems, and maintain audit records.

Public, private, and restricted information

Not everything connected to a LoudPipes account or LifeTag profile is public. Some information may be intended for public or responder-facing display, some may remain private to the account or internal service processes, and some may be restricted by privacy controls.

What can be displayed depends on what the user lawfully stores, what the product flow allows, and what privacy controls apply to that category of information.

Sensitive and third-party information

Some information linked to LifeTag use may be sensitive or high-risk. Depending on what a user chooses to store, this may include emergency, medical, allergy, medication, health-related, or similar information.

Users should only provide information they are authorised to provide, must keep it accurate and current, and should take extra care when storing third-party details such as emergency contacts or next-of-kin information.

Why we process it

  • To create, secure, and manage portal accounts and recover access where needed.
  • To help users create, activate, manage, update, and display LifeTag-linked information through supported product flows.
  • To generate invoices, manage subscriptions, process orders, support payments, and administer fulfilment or delivery where applicable.
  • To provide support, service communications, anti-abuse controls, security monitoring, and operational record-keeping.
  • To meet legal, tax, accounting, dispute-resolution, and compliance obligations where applicable.

Whether you have to provide information

Some information is optional, while some information is required to create an account, process an order, maintain billing records, provide support, or operate a LifeTag-related feature.

If required information is not provided, some account, ordering, support, billing, activation, or profile functions may not work properly or may not be available at all.

When we may share information

We do not sell personal information. We may share or allow processing by operators or service providers where reasonably necessary to host, secure, support, communicate, bill, fulfil, deliver, log, or operate the service.

This may include categories such as payment processors, hosting or infrastructure providers, communications providers, support tools, courier or fulfilment providers, fraud-prevention tools, and professional advisers where required. We may also disclose information where required by law or where reasonably necessary to protect rights, safety, or the service.

Cross-border processing

Some systems or operators used to host, secure, communicate, or support the service may process or store information outside South Africa. Where that happens, we aim to use lawful grounds and appropriate safeguards for that processing.

Security and incident handling

  • We use access controls, account protections, system logging, and other reasonable technical and organisational measures appropriate to operating the service.
  • We limit access to personal information where reasonably practicable and work to reduce the risk of loss, misuse, unauthorised access, or unlawful processing.
  • No internet-based service can honestly promise perfect security, but we still take protection seriously and work to improve safeguards over time.
  • Where applicable law requires it, we may notify affected persons and/or regulators of qualifying security compromises.

Retention and deletion

  • We keep information only for as long as reasonably needed for service delivery, account operation, support, legal compliance, tax, accounting, security, anti-abuse, or legitimate operational purposes.
  • Different categories of information may be kept for different periods depending on whether they relate to profile use, support, invoices, payments, disputes, or legal obligations.
  • We may delete, de-identify, restrict, or archive records when they are no longer reasonably needed or when applicable law requires or permits it.

Your rights, access, and complaints

Subject to applicable law, you may ask whether we hold personal information about you, request access to it, ask for correction or deletion where appropriate, object to certain processing, or request that certain records be restricted where the law allows.

Use the Contact page if you need privacy help, account support, or want to raise a privacy-related request. You can also use the Access to Records page for the public records-access route.

If you believe personal information has been handled unlawfully, you may also lodge a complaint with the South African Information Regulator.
